Privacy notice

Arranging a passage means moving crew and vessel documentation between ports, agents and authorities. This notice sets out what we collect, why, who receives it and how long we keep it.

Who controls your information

The Maritime Consultancy Ltd (Company No. 13436865), registered in England and Wales, trading as The Yachting Agent, is the controller of personal information described in this notice. Contact: ops@theyachtingagent.com.

What we collect

Contact and enquiry information you send us by email, WhatsApp or telephone: your name, contact details and what you tell us about the yacht and the intended voyage.

Passage and crew information needed to arrange a transit or port call: crew lists, passport and certificate details, vessel documentation, insurance conditions and itineraries.

Basic technical information from this website: pages requested, approximate location derived from IP address, and error diagnostics. We do not run advertising or cross-site tracking.

Why we use it

To answer enquiries and prepare a scope and fee for a passage.

To perform an engagement: lodging documentation with agents, ports, canal and immigration authorities, and naval reporting organisations where a corridor requires it.

To keep operational and financial records, meet legal and accounting obligations, and handle disputes or claims.

Lawful bases

Performance of a contract, or steps taken at your request before entering one; our legitimate interests in operating and securing the service; and compliance with legal obligations, including port, customs, immigration and sanctions requirements.

Who we share it with

Local agents, ports, canal authorities, immigration and customs services, and naval reporting organisations. We send only what a specific transit or port call requires.

Suppliers we appoint on your instruction, such as bunker suppliers, technicians and transport providers.

Our professional advisers, insurers, accountants and IT service providers under confidentiality obligations.

We do not sell personal information and we do not publish yacht names, owner identities or itineraries.

International transfers

Arranging passages inevitably involves sending crew and vessel documentation to authorities and agents outside the UK and EEA. Where we do so, we send only what the port or authority requires and rely on the applicable safeguards or on the necessity of the transfer for performance of the engagement.

How long we keep it

Enquiry correspondence that does not lead to an engagement: up to 24 months.

Passage and financial records: seven years from the end of the engagement, to meet accounting and liability requirements.

Website technical logs: short-term retention for security and diagnostics.

Your rights

You may ask for a copy of the personal information we hold about you, ask us to correct it, ask us to delete it where we no longer need it, object to processing based on legitimate interests, or ask us to restrict processing. Write to ops@theyachtingagent.com.

If you are not satisfied with how we have handled a request, you may complain to the UK Information Commissioner's Office.

Security

Access to passage and crew documentation is limited to the people working on the engagement. Data is held on managed, access-controlled systems, and information is transmitted to agents and authorities only through the channels those parties require.
